User expectations

Renters are responsible for set up and take down of tables and chairs.
Leave the hall as found. Put chairs and tables away, sweep floors, wipe down counters, and place all event garbage and recycling in the proper receptacles.
Do not affix decorations to the walls or ceiling with anything that will leave a mark (no tacks, push pins, nails, staples, or tape).
No smoking or vaping of any substance allowed in the centre or on property.
Alcohol permits must be approved by the Liquor Control Branch and a copy must be provided to the RDN.
Please turn off lights and turn down the heat when leaving.
Return key to Cedar Heritage Centre as soon as possible following your event.

Insurance requirements for renting at Cedar Heritage Centre

Regular User is deﬁned as (a) Rentor(s) representing a commercial organization, non-proﬁt organization or an informal group (family, friends) that rents the facility frequently, at least one per month, throughout the year. Regular User groups shall be required to provide proof of general commercial liability insurance naming the RDN as additionally insured as prescribed by the RDN from time to time.

Casual User is deﬁned as (a) Rentor(s) representing a commercial organization, non-proﬁt organization or an informal group (family, friends) that rents the facility infrequently, less than once per month. Casual users are not required to provide proof of general commercial liability insurance; however, all other parts of this License will apply.

Cancellation policy

Cancellation:

Casual user bookings

Must be paid in full at the time of booking and are non-refundable.

Regular user bookings

Cancellations must be received at least 14 days prior to the booking to qualify for a full refund, after that time no refund will be issued.

Winter Weather Cancellation: If schools are cancelled, the Cedar Heritage Center will be closed. Check the Nanaimo Ladysmith Public Schools website for any school cancellation notices. If conditions at a Cedar Heritage Centre site are compromised due to power outages, ice or snow removal, renters will be emailed as soon as possible. Renters will be rescheduled or credited for booking cancelled by the RDN due to weather.
